Join an established arts and cultural institution as EA at C-Suite level, ensuring that the Execs have the support they need to lead the organisation effectively!

This role requires someone who is proactive, anticipating the business needs and supporting the efficient running of the Chair and Chief Executive Office. This is a key organisational interface role and involves significant liaison and coordination across all levels including with Ministers, high ranking officials, Board members and individuals in senior level positions. The EA will need to be adept at instigating, developing and managing internal and external relationships.

Key duties and responsibilities:

  • Ensure that the Chair and Chief Executive receive all required organisation and administrative support 
  • Contact individuals in senior level positions, dealing with complex queries and requests in an appropriate manner
  • Regularly deal with key external stakeholders, influencing and negotiating as necessary 
  • Resolve conflicting priorities in the Execs' diaries
  • Handle internal confidential and sensitive information, working closely with colleagues and HR to ensure the correct approach
  • Manage complaints from internal and external sources and ensure these are dealt with promptly
  • Deal with urgent and important issues, escalate these and manage the responses
  • Working with external organisations and internally across teams to ensure issues are addressed and resolved promptly
  • Prepare responses for outgoing correspondence in Execs' absence
  • Coordinate briefing arrangements; this includes researching information, preparing drafts, identifying and commissioning input from senior staff and checking of detailed and complex briefing documents

What we are looking for:

  • Knowledge and an interest in the public sector is desirable   
  • Previous experience as an EA at senior level, preferably Chief Executive, with excellent administrative and organisational skills
  • Excellent interpersonal skills with the ability to act effectively and confidently on behalf of Execs
  • Flexible and collaborative approach to team working, able to work as a cohesive team
  • Able to work on own initiative with minimal supervision or direction and have excellent problem solving skills
  • Highly organised, critical thinker with a methodical approach to work with the ability to forward plan and work under pressure
  • High standard of written communication, with excellent accuracy and attention to detail
  • Proven ability to work with sensitive information and maintain a high level of confidentiality and discretion
  • Strong IT skills with an excellent working knowledge and experience of MS Office
