Executive Assistant - Global Asset Management Financial Services Firm, Mayfair

Our client, a global asset management and financial services firm, is looking for an inimitable EA to support the Senior Managing Director of the Client Relationships Group. We are looking for an EA who can provide full comprehensive business support whilst juggling multiple tasks at once; you will be sharp, efficient and will be able to provide comprehensive and professional executive support in order to function effectively and focus on delivery of the business strategic objectives. 

We will need an individual who enjoys and has exemplary meticulous organisational skills, the ability to manage an ever-changing schedule and the drive to flourish withing a fast-paced organisation.  

Responsibilities will include: 

  • Diary management and administration support to MD
  • Scheduling of calls, meetings and providing calendar and conflict management 
  • Booking of all travel including flights, transportation, hotel, and reservations for complex calendars and multi-legged roadshows
  • Processing of expenses through the internal Workday system 
  • Processing personal healthcare claims for MD
  • Assist in updating presentations for client meetings and circulating to team members 
  • Updating the internal investor portal as well as the CRM system 
  • Keeping track of client requests and ensuring responses are provided in a timely manner 
  • Get involved and help organise team events
  • Provide administration support to the broader CRG team from time to time and assist with ad hoc projects 
  • Liaise across the international offices

What we are looking for: 

  • Degree educated 
  • Experience working as an EA or a similar support role within financial services 
  • Excellent verbal and writing communication skills
  • Ability to work both autonomously and as part of a team 
  • Meticulous attention to detail
  • Hard working and dependable
  • Ability to work well in a fast-paced environment
  • Project/deadline-oriented
  • Strong organisational and multi-tasking skills
  • Creative, enthusiastic, self-starter
  • Excellent use of MS Office including Word, PowerPoint and Excel
