Business Assistant - Small Family Office, Westminster

** 1 Year Fixed Term Maternity Contract **

Join a small yet well-established family office as a Business Assistant supporting the Directors and the wider business. The role will require an Assistant who can support with EA responsibilities as well as operations. We are looking for a polished individual can remain calm under a high pressure / fast-paced environment. 

Responsibilities will include:

EA support

  • Diary management, arrange internal and external meetings
  • Managing business and private duties for the directors 
  • Arranging travel, Visas, accommodation
  • Administration of small family charity
  • Screening of incoming emails and project communications
  • Liaising with Consultants on various property projects 
  • Preparation of quarterly reports 
  • Management of sales of event tickets
  • Expense claims for directors and staff
  • Assist in research tasks 
  • Administration of filing system

Finance / operations

  • Setting up payment of bills for company and directors
  • Budget forecasting and cashflow management
  • HR/payroll (notification to accountants of hours, changes, etc. 
  • Monthly invoice collation for accountant day-to-day office organisation and administration
  • Ensuring efficient management of the day to day running of the office
  • Managing administrative assistant
  • First contact for all IT related issues/problems
  • Management of utility contracts
  • Help with the smooth running of the house/office
  • Keeping up to date with systems and ways to improve the efficiency of the office
  • Other ad hoc duties as and when required

What we are looking for:

  • 5+ years in a similar support role 
  • Impeccable communication and organisational skills
  • Meticulous attention to detail
  • Ability to manage multiple complex tasks simultaneously
  • Ability to work under pressure
  • Enthusiastic “hands on” personality 
  • Prepared to take on a wide range of duties
  • Knowledge of Google Apps, Microsoft Office, MS Word, PowerPoint & Excel
