EA to C-Suite Execs, Media & Entertainment, West London!

Vacancy Description:

Join an established entertainment company as Executive Assistant to CEO and CFO! We are looking to hire a confident, experienced and strategic thinking EA who can forward plan, manage upwards and act as eyes and ears for the Execs. This is a super varied role with involvement in HR and also office management support (alongside UK Facilities Team). 

You will need to have first class communication skills, be able to work autonomously and be confident building positive relationships across the business.

Responsibilities include but not limited to:

  • Diary management for CEO and CFO including travel schedules
  • Keep track of daily expenses and prepare monthly expense reports
  • Weekly updates and circulation of movement sheets and team changes / regularly updating the organisation charts
  • Preparation of management and board presentations
  • Ordering divisional stationery, kitchen/office items and gifts as required
  • Line management of Team Assistant and supervision of PA  
  • Working with the Team Assistant and PA on divisional event organisation and month by month social events
  • Assisting with coordination of office management alongside UK Facilities team
  • Planning and supervision of interns
  • Working alongside Group HR on projects
  • Providing support in the recruitment process for the division
  • Working with CEO to plan the annual review process with follow-up documentation
  • Working with the CFO of preparation of renumeration and benefits
  • Liaising with Group HR and IT to ensure employees are efficiently onboarded and offboarded

What we are looking for: 

  • Must have supported at senior level as a PA/EA – ideally for a global company
  • Previous HR experience desirable
  • Experience working in a fast-paced environment, ideally within creative/media
  • High levels of discretion and confidentiality
  • High attention to detail and strong, articulate communication skills
  • Strong MS Office skills 
  • Discretion and confidentiality
