Facilities Supervisor - Successful Law Firm, Holborn

Our client, a successful law firm based in Holborn is looking for an exceptional Facilities Supervisor to join their team. You will provide full support to the Office Manager and all of the other members of the London office to ensure smooth functioning of the entire office, as well as supervising the Facilities Assistant in their day-to-day role. 

This role will require the candidate to pay meticulous attention to detail whilst always exercising a positive work ethic and team spirit. We are looking for someone who can anticipate the needs of the team and come up with innovative solutions.

Responsibilities will include:

  • Organising and supervising a range of contracts for products and services
  • Supervising third party contractors
  • Liaise with and manage multiple supplier relationships
  • Supervising and managing the Facilities Assistant to ensure everything is properly distributed whilst providing collaborative support 
  • Responding to emergencies and urgent issues as they arise within the office
  • Comparing costs for required goods and services 
  • Obtain third party quotes and reviewing invoices from suppliers/ contractors
  • Responsible for Health & Safety, and providing support to all new starters and carrying out health and safety inductions 
  • Co-ordinate office moves and desk set up as and when required
  • Arrange for seminar rooms to be organised, configured and set up by liaising with the front desk and IT teams
  • Assisting with ad hoc projects and other duties as necessary
  • Ensure office space is clean and presentable
  • Ensuring that all contracts are up-to-date  
  • Devising a system for ordering and having sufficient supplies

What we are looking for:

  • Previous experience in a similar Facilities role
  • Outstanding communication skills 
  • Excellent telephone manner, well presented and polite 
  • Outstanding organisational and interpersonal skills 
  • Proactive and hands on approach to work 
  • Ability to work both as part of a team and autonomously 
  • Meticulous attention to detail 
  • Flexible and adaptable 
  • Excellent knowledge of MS Office
