An exceptional opportunity has arisen for a highly organised, proactive and polished Office Manager / Executive Assistant to join a respected international trade and investment organisation with a global presence across Europe, the Middle East, Asia and North America.

Based in London, this is a varied and high-profile role supporting the senior leadership team whilst overseeing the smooth running of the London office and assisting with wider regional coordination.

This is a broad and hands-on position across executive support, office management, operations, events, finance coordination and stakeholder engagement within an international, commercially focused environment.

Working closely with teams across London and overseas offices, you will play a key role in ensuring the efficient operation of the business, supporting international visits and delegations, coordinating events and helping maintain strong relationships with stakeholders across government, industry and global partners.

  • 2-year FTC (view to extend)
  • Monday to Friday: 9 – 5 pm
  • Hybrid: 3 days in office, 2 WFH

Responsibilities will include:

  • Providing high-level EA support including complex diary management, travel coordination, meetings and expenses
  • Managing day-to-day office operations, administration, suppliers and facilities for the London office
  • Coordinating international visits, delegations, events, conferences and stakeholder meetings across the UK and Europe
  • Supporting finance processes including budgeting, reconciliations, expense claims, invoices and liaison with payroll providers and banking contacts
  • Assisting with HR administration including onboarding, payroll coordination and maintaining employee records
  • Managing office systems, reporting, records and operational processes
  • Supporting presentations, briefing documents, speeches, reports and research projects
  • Assisting with LinkedIn content and digital communications to promote organisational activity and engagement
  • Acting as a key liaison across internal teams, external stakeholders and international offices
  • Supporting travel logistics, scheduling and coordination for senior leadership and visiting delegations
  • Maintaining a highly professional, welcoming and efficient office environment


What we are looking for: 

  • Previous experience within an Office Manager, Executive Assistant, PA or Operations role
  • Strong organisational skills with the ability to manage multiple priorities simultaneously
  • Experience supporting senior executives within fast-paced, international or corporate environments
  • Confident managing office operations, events and stakeholder coordination
  • Financially and commercially astute, with experience across expenses, reconciliations, budgeting or office finance administration
  • Excellent communication skills, both written and verbal
  • Highly polished, proactive and personable with strong emotional intelligence
  • Calm under pressure with excellent attention to detail
  • Confident using Microsoft Office, particularly Outlook, Word and Excel
  • Experience using LinkedIn and digital communication tools beneficial
  • Naturally adaptable, hands-on and collaborative in approach
