Operations Manager - Casting Agency, West London

Our client, a trailblazing casting agency is looking for an Operations Manager to join their expeditious and spirited team. 

We are looking for a proactive and organised individual with a ‘make it happen’ and ‘can-do’ mentality to become the heartbeat of the office. This fabulous and very involved role will require agility, the ability to multitask and high levels of emotional intelligence. 

This brilliant opportuntiy will allow you to develop and implement strategic initiatives, coordinate projects, ensure smoothing running of the office whilst working closely with the founder.

 NB: this role is three full days and 2 half days a week or perhaps 5 shorter days

Responsibilities will include:

  • Liaise with assistants in house and with external production companies
  • Organise company events, conferences, team lunches, socials
  • Diary management for the office and founder, including external and internal meetings
  • Managing office supplies & inventory 
  • Maintain a tidy office environment 
  • Collaborate with office staff and manage company and client documentation, including overseeing production and confidential talent contracts & information
  • Ad hoc finance admin such as monthly reconciliation – petty cash, company credit card, company debit card spending / liaising with accountant regarding sending invoices
  • Overseeing and maintaining internal procedures, while working with founder and associates to improve team/office communication and functions
  • Facilitate all internal recruitment and onboarding

What we are looking for: 

  • Ideally 2+ years’ experience in a busy office support / operations or team assistant role
  • Experience within the media, ideally casting or production would be advantageous
  • Calm with the ability to work well under pressure
  • Multi-tasking and time-management skills, with the ability to prioritise tasks
  • Comfortable handling confidential information
  • Meticulous attention to detail
  • Ability to respond to issues quickly and develop practical ideas for their resolution
  • Great team player with an ability to communicate between multiple associates
  • Robust, positive, cheerful and solutions-focused approach
