Team Assistant - Boutique Investment Firm, Mayfair

Vacancy Description:

We are seeking a highly organised and proactive Team Assistant to join a dynamic property finance team at a leading investment management firm based in Mayfair.

Newly created position, this is an amazing opportunity to support a close-knit team in a fast-paced, growth-oriented environment. The ideal candidate will have strong administrative skills, the ability to manage multiple priorities, and a keen eye for detail.

Responsibilities will include:

  • Extensive diary management, including setting up meetings and coordinating travel arrangements
  • Provide general administrative support such as editing and formatting documents, preparing meeting packs, scanning and photocopying for regular monthly and quarterly meetings
  • Coordinating signatures for deals 
  • Assist in organising regular monthly and quarterly meetings, ensuring all materials are prepared and distributed in a timely manner
  • Co-manage the enquiry inbox
  • Managing food and drink orders for awards and event attendees 
  • Acting as a secondary resource and absence cover for the CEO’s EA
  • Organising team social events
  • Arrange gifts for clients and staff members
  • Work closely with other Team Assistants to ensure seamless absence cover 

What we are looking for: 

  • Ideally 2 years experience, preferably within financial services / corporate office
  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook
  • Ability to work proactively in a fast-paced environment and manage multiple tasks with discretion and professionalism
  • Strong communication skills, with the ability to interact effectively at all levels of the organisation
