Our client, a forward-focused real estate investment management company based in the City, is looking for a multifaceted Office Manager / Team Assistant to provide seamless support. We are looking for a team player who also possesses the ability to work autonomously whilst delivering tasks to a high standard. This is a lovely, varied role for someone who likes to take on responsibility, being confident and having the ability to prioritise effectively is essential.
Responsibilities will include:
- Diary management
- General admin to support management team
- Booking travel arrangements
- General admin to support management team
- Act as first point of contact, answering phone promptly and professionally
- Book and manage meeting rooms and conference calls
- Manage and distribute postage and packages
- Arrange catering for client meetings and the board meetings
- Set up and clear meeting rooms before and after each meeting.
- Order supplies, stationery, maintain constant supply level
- Work with IT support company to manage various aspects of the IT operations
- Research/book external meeting venues when needed
- Maintain and adhere to health and safety guidelines
- Meet and greet visitors
- Make sure office area looks presentable
Skills and Experience Required
- 2+ years of office coordination / team assistance / reception experience
- Impeccable written and oral communication skills
- Excellent organisational and time management skills
- Ability to juggle multiple tasks at once
- Confident, personable, pro-active attitude
- Proficient usage of MS Office including Word, Excel, Outlook and PowerPoint
