Our client is a highly successful creative production company working globally across major productions with an impressive roster of leading clients.

We are now hiring for a superstar Executive Assistant for the Creative Director / Founder to support across both business and personal responsibilities.

Acting as a key operational partner to the Founder, you will be helping to streamline priorities, improve efficiency and ensure nothing falls through the cracks. This is a pivotal role at the centre of the business, requiring someone who thrives under pressure, operates with exceptional organisation, and is confident managing multiple priorities at pace.

The role is flexible in structure (can be full-time or part-time for the right person) and offers hybrid working, with a strong emphasis on trust, autonomy and proactive ownership.

Responsibilities will include:

  • Comprehensive diary and schedule management across business and personal commitments
  • Acting as a trusted gatekeeper, helping manage priorities and ensuring clear follow-through on actions
  • Managing inboxes and prioritising communications
  • Coordinating meetings, calls, agendas and briefing materials
  • Coordinating UK and international travel including flights, accommodation, itineraries and on-the-ground logistics
  • Liaising with clients, suppliers and internal teams as required
  • Managing confidential information with absolute discretion
  • Maintaining company records, documentation and core administrative systems
  • Supporting office operations in collaboration with the Office Manager where needed
  • Managing staff and client gifting, ensuring thoughtful, timely and well-executed delivery
  • Finance Administration support (coordination of payments and financial records across group entities, expense submissions, processing ad hoc payments including events, personal expenses and operational costs)

Property & Lifestyle Coordination 

  • Supporting commercial and personal property administration, coordinating suppliers, contractors and ongoing maintenance requirements
  • Arranging external services including cleaners, tradespeople, upholsterers and specialist contractors as required
  • Ensuring property related tasks are handled efficiently and proactively
  • Providing ad hoc support across personal logistics and household administration where required
  • Occasional house sitting (approximately 2 weeks in August) would be amazing!


What we are looking for: 

  • Experienced as an EA supporting a founder or senior leadership team within a fast-paced, production or creative environment
  • Exceptionally organised, discreet and highly trusted at senior level
  • Calm under pressure with strong prioritisation and problem-solving ability
  • Proactive, resourceful and able to anticipate needs before they arise
  • Confident managing diary, inbox and complex logistics at pace
  • Strong communicator with excellent attention to detail
  • Flexible, adaptable and comfortable in a dynamic and evolving environment
  • Experience using Xero (or similar systems) would be beneficial
